What this notice covers
This notice covers the expression-of-interest form at sustineri-partners.com/earthshot2027-eoi-form/ and everything you send us through it.
It does not cover what The Earthshot Prize does with your information. If we put your solution forward, you will complete The Earthshot Prize's own form directly, and their privacy notice will apply to that.
What we collect
When you complete the form, we collect:
About the solution
- Its name and what it does
- Which Earthshot it addresses, and what stage it has reached
- The countries where it operates
- Its measurable impact to date, and the evidence behind those figures
- What impact it could have if scaled
- What would help it accelerate
- How it has been funded, and how much it has raised
- Any supporting documents you choose to upload
About you and your organisation
- Organisation or individual name, type and headquarters
- Team size
- Website and social channels
- The name of the person leading the solution, and their track record
- Your name, role, email address and telephone number
- How you heard about the call
Technical information
- The date and time you submitted the form
- Basic technical data recorded by our website, such as your IP address, described in section 9
We do not ask for, and do not want, special category information such as health data, or information about criminal convictions. Please do not include it in your answers or your uploaded documents.
If you give us information about another person, for example a co-founder you name as the solution's leader, please make sure they know you have done so and that they have seen this notice.
Why we use it, and our lawful basis
| What we do | Why | Lawful basis |
|---|---|---|
| Receive and read your expression of interest | To assess whether your solution fits The Earthshot Prize criteria | Legitimate interests: Article 6(1)(f) |
| Keep a record of who registered an interest | To run the 2027 nomination process and report on it | Legitimate interests: Article 6(1)(f) |
| Contact you about your expression of interest | To ask questions, and to tell you the outcome | Legitimate interests: Article 6(1)(f) |
| Share your details with The Earthshot Prize | So that, if we nominate you, they can invite you to complete their form | Consent: Article 6(1)(a) |
| Share your details with the Adria Future Summit and the Sustainable Adria Awards | So that they can contact you about the summit and the awards | Consent: Article 6(1)(a) |
| Send you occasional updates about Sustineri Partners and future cycles | To keep in touch with you | Consent: Article 6(1)(a), or soft opt-in where permitted |
Our legitimate interests are assessing solutions against the criteria, deciding which to put forward, and being able to answer The Earthshot Prize if they ask us about a nomination.
You can withdraw consent at any time. Where we rely on consent, write to earthshot@sustineri-partners.com and we will stop. Withdrawing consent does not affect anything done before you withdrew, and it does not affect the part of our processing based on legitimate interests. If you withdraw consent to share your details with The Earthshot Prize, we cannot put your solution forward, because sharing your details is part of nominating you.
You are not obliged to give us your information. But if you do not, we cannot consider your solution for nomination.
We do not use your information for automated decision-making or profiling.
Who we share it with
The Earthshot Prize. Only if we decide to nominate your solution, and only with the consent you give on the form. We will tell you before we do it.
The Adria Future Summit and the Sustainable Adria Awards. Only if you give your consent on the form. You can withdraw it at any time by writing to earthshot@sustineri-partners.com. Once your details are shared, their own privacy notices apply to how they use them.
Our service providers, who process information on our behalf under contract:
- our website host and the content management system
- the email service we use to receive and reply to you
- our file storage
They may only use your information to provide their service to us. They may not use it for their own purposes.
Where the law requires it, for example in response to a valid legal request.
We do not sell your information. We do not share it with advertisers. We share it with the Adria Future Summit and the Sustainable Adria Awards only if you agree to it on the form, and with no other organisation or programme.
Sending information outside your country
We are based in the United Kingdom and Montenegro, so your information will be handled in both countries.
If we share your details with The Earthshot Prize, that is a transfer to the United Kingdom, where they are based.
Where information is transferred outside the UK or the European Economic Area to a country without an adequacy decision, we put a safeguard in place, normally the standard contractual clauses approved by the UK Information Commissioner or the European Commission.
You can ask us for a copy of the safeguard we rely on.
How long we keep it
| What | How long |
|---|---|
| Expressions of interest we do not take forward | Until the 2027 cycle ends, and in any event no longer than 24 months from the closing date |
| Expressions of interest we do take forward, and the nominations that follow | For the duration of the Prize process, plus 12 months, so we can answer questions from The Earthshot Prize |
| Information we are legally required to keep | For as long as the law requires |
| Consent to receive updates | Until you withdraw it |
| Details shared with the Adria Future Summit or the Sustainable Adria Awards | Once shared, kept by them under their own privacy notices. You can withdraw your consent to us at any time, and we will tell them to stop using your information. We cannot recall copies already held by them, but they must stop using them |
We delete information when these periods end, or anonymise it so that it no longer identifies you.
Your rights
You have the right to:
- See the information we hold about you, and receive a copy
- Correct anything inaccurate or incomplete
- Delete it, where we no longer have a good reason to keep it
- Restrict what we do with it while a question about it is resolved
- Object to processing based on our legitimate interests
- Receive it in a portable format, or have it sent to another organisation
- Withdraw consent at any time, where we rely on consent
To exercise any of these, write to info@sustineri-partners.com. We will reply within one month. If your request is complex we may extend that by two further months, and we will tell you if so.
If you are unhappy with how we have handled your information, you can complain to a supervisory authority.
- United Kingdom: the Information Commissioner's Office, ico.org.uk, telephone 0303 123 1113
- Montenegro: Agencija za zaštitu ličnih podataka i pristup informacijama
We would rather you came to us first, so that we can put it right.
Cookies and technical information
Our website uses cookies and similar technologies that are necessary for it to work: remembering your session, protecting forms against spam and abuse, and security.
If we use any cookie that is not strictly necessary, we ask for your consent first, and you can refuse it without affecting your use of the form.
We may record your IP address and the time of submission. We use this only to keep the form secure and to investigate abuse.
How we protect it
We take reasonable technical and organisational measures to protect your information: encryption in transit, access limited to the people who need it, and passwords and two-factor authentication on our accounts.
No system is completely secure. If a breach puts your rights at risk, we will tell you and the relevant supervisory authority as the law requires.
Changes to this notice
If we change how we handle your information, we will update this notice and change the date at the top. If the change is significant, we will contact you directly using the details you gave us.
